energy-manager

Manage energy, not just time: map your ultradian rhythms, align tasks to energy states, and design recovery. Use when time management alone isn't fixing fatigue or afternoon slumps.

Energy Manager

Overview

Time is fixed; energy fluctuates. Managing energy — physical, mental, emotional — determines what your hours are worth.

Everyone has rhythms: peak alertness, post-lunch trough, second wind. Fighting your biology with scheduling is a losing game.

Energy management = map your patterns, align demanding work to peaks, protect recovery, and fix the big drains (sleep, movement, food).

When to use

  • Afternoon crashes killing productivity despite 'enough time'
  • Burnout symptoms while hours look reasonable
  • Wanting sustainable high performance without overwork
  • Designing a schedule around chronotype and energy
  • Recovering from a period of chronic overwork

Core concepts

  • Ultradian rhythms. 90-120 min cycles of alertness through the day. Work in focused sprints aligned to cycles; break between them. Fighting the cycle costs more than the break.
  • Chronotypes. Morning larks peak early; night owls peak late. Most people peak mid-morning, trough after lunch. Know yours; schedule accordingly.
  • Energy audit. Track energy (1-5) hourly for a week alongside activities. Patterns emerge: golden hours, drains, boosters. Data beats assumptions.
  • The big three. Sleep (7-9h, consistent), movement (daily, especially walking), food (stable blood sugar). These dominate everything else combined.
  • Task-energy matching. Peak -> deep creative work. Trough -> admin, email, errands. Second wind -> planning, lighter creative. Never invert this.
  • Recovery design. Breaks, walks, naps (20 min), real lunch away from desk, evenings off, weekends off. Recovery is productive — it's when consolidation happens.
  • Energy drains. Identify and fix: terrible sleep, back-to-back meetings, constant context-switching, unresolved conflict, decision fatigue. Drains first, hacks second.
  • Decision minimalism. Decisions cost energy. Routines, defaults, and batching (clothes, meals, email) preserve willpower for what matters.

Practical workflow

  1. Run an energy audit. One week: hourly 1-5 energy + activity log. Find your peaks, troughs, drains, and boosters.
  2. Fix sleep first. Consistent bedtime/wake, 7-9 hours, dark cool room, no screens 30-60 min before bed. Nothing else matters until this works.
  3. Add daily movement. Walk daily (20-30 min minimum); exercise 3-5x/week. Movement is the highest-ROI energy intervention after sleep.
  4. Map tasks to energy. Redesign the week: deep work in peaks, shallow in troughs, admin in slumps. Put it on the calendar.
  5. Design recovery. Real breaks between sprints, lunch away from screens, 20-min nap option, hard stop time, one full day off weekly.
  6. Kill top drains. From the audit: fix the 2-3 biggest drains (meeting overload? terrible chair? 5h sleep?). Drains before optimizations.
  7. Batch decisions. Meal defaults, outfit routines, email windows, theme days. Fewer daily decisions = more energy for real ones.
  8. Review monthly. Energy trends, sleep consistency, deep-work output. Adjust schedule seasonally — energy isn't static year-round.

Common pitfalls

  • Time management only. Perfect calendar, exhausted human. Energy is the multiplier on every hour — manage it first.
  • Ignoring sleep. Optimizing productivity systems on 5-6 hours of sleep. Sleep debt makes every technique perform at 60%.
  • Caffeine masking. Using stimulants to override troughs instead of scheduling around them. Works short-term, costs long-term.
  • No real breaks. 'Breaks' spent scrolling. Recovery requires actual disengagement — walk, stare out window, nap.
  • Peak hours for email. Spending golden morning energy on inbox triage. Peak hours are for creation; inbox gets trough time.
  • Weekend catch-up myth. Working weekends to 'get ahead' instead of recovering. Chronic under-recovery compounds into burnout.
  • One-size-fits-all advice. 5am routines for night owls. Chronotype is largely biological — work with it, not against it.
  • All optimization, no foundation. Supplements and hacks while sleeping 6 hours and never moving. Foundations (sleep, movement, food) dwarf everything else.
