The calendar is the operating system for time: what gets scheduled gets done. This skill covers professional calendar mastery — time blocking, meeting hygiene, calendar audits, managing others' calendars (EAs), and the systems that protect focus time in meeting-heavy cultures.
Calendars are the operating system of professional time: they allocate attention, coordinate groups, and create the record of how time was actually spent. Mastery covers personal time management, team scheduling norms, and the integrations that make calendars intelligent rather than merely digital.

Time blocking. Assign every hour a job: deep work blocks, meeting blocks, admin blocks, buffer blocks. The calendar reflects priorities — if "strategy" has no block, it's not a priority. Protect blocks like meetings (decline conflicts by default).
Meeting hygiene. Every meeting needs: purpose, agenda, required vs. optional attendees, and a default length (25/50 min, not 30/60 — buffers matter). Recurring meetings need owners and periodic review — most outlive their usefulness.
Calendar audit. Categorize two weeks of calendar: deep work, meetings (by value), admin, personal. Compare to ideal allocation. The gap reveals the problem — usually meetings crowding out everything else. Audit quarterly.
Scheduling. Minimize back-and-forth: share availability links, propose 2–3 specific times, respect timezones (show both zones), and batch similar meetings. For groups: poll once, decide fast, don't reopen.
EA/executive calendaring. Gatekeeping with judgment (what deserves the exec's time?), strategic scheduling (energy-matched: hard thinking in peak hours), buffer management, prep time blocks before important meetings, and saying no gracefully on their behalf.
Visibility and boundaries. Share appropriate availability, publish working hours and focus blocks, use tentative/OOO honestly, and set response expectations. A calendar that's always "free" invites overload.
Time blocking. Assign every hour a job: deep work blocks (2–4 hours, notifications off), meeting blocks, admin batches, and buffer time. A calendar with only meetings is a to-do list written by other people — block time for your own priorities first. Review weekly: does the calendar reflect your actual priorities? Adjust ruthlessly. Scheduling etiquette. Share agendas in invites; default to 25/50 minutes; include video links and dial-ins; respect time zones (show them explicitly); decline or propose alternatives rather than accepting meetings you will not attend. Every accepted-but-skipped meeting trains others that your RSVPs mean nothing. Calendar sharing and visibility. Default sharing settings by role (free/busy for most, details for direct teams); private appointments for sensitive items; team calendars for PTO and out-of-office. Transparency reduces scheduling friction; oversharing creates noise. Set thoughtful defaults. Scheduling tools. Booking links (Calendly-style) for external meetings, round-robin for team distribution, and automated reminders to cut no-shows. Rules: always offer 3+ time options across days, confirm time zones explicitly, and include preparation expectations in the booking flow.
Meeting invite checklist: clear title → purpose (one line) → agenda → required vs. optional → pre-read attached → correct duration → video link → timezone clarity for distributed attendees.
Weekly calendar audit (15 min, Friday): review next week → block deep work before meetings fill it → decline or delegate low-value meetings → batch similar meetings → confirm external meetings → protect one meeting-free half-day. Meeting hygiene checklist: purpose stated in invite → agenda attached → right attendees (can anyone be optional?) → decision or outcome defined → notes and actions captured → follow-up scheduled if needed. Meetings without purposes are just interruptions with invitations.
