Use when a dispatcher, operations manager, or owner asks how to plan loads to minimize empty (deadhead) miles, sequence freight efficiently, balance regional capacity, design dedicated loops, or build a load-pairing strategy across customers. Covers loaded-ratio math, lane balance, region-pair pricing, and software-supported optimization.

Empty miles are the most expensive miles in trucking — driver pay, fuel, tire wear, all consumed for $0 revenue. A 10-percentage-point improvement in loaded ratio is worth ~$20K per truck per year.
Loaded Ratio = Loaded Miles ÷ Total Miles
| Loaded ratio | Operation type | Notes |
|---|---|---|
| 50–70% | Spot-market OTR | Random loads, lots of empty repositioning |
| 75–85% | Decent OTR + brokerage | Better lane matching |
| 85–92% | Dedicated lanes + regional | Backhaul matched 80%+ of the time |
| 92–98% | LTL hub-spoke / regional dedicated | High operational maturity |
| 98%+ | Yard hostling / short-haul dedicated | Almost no deadhead |
Most OTR fleets target 88–92%. Below 80% signals operational opportunity.
| Cause | Mitigation |
|---|---|
| One-way lane to low-demand region | Pair with backhaul from same region |
| Customer requires empty repositioning | Negotiate pickup nearer drop |
| Driver hometime forces empty deadhead | Plan around home time |
| Maintenance / breakdown forces empty | Predictable PM scheduling |
| Bobtail to pick up loaded trailer | Drop-and-hook trailer program |
| Truck stuck in low-rate region | Reposition empty to higher-rate market |
A "balanced" lane has approximately equal load volume in both directions:
| Lane | Loads east-bound/week | Loads west-bound/week | Balance |
|---|---|---|---|
| Chicago–Atlanta | 50 | 48 | Balanced |
| Los Angeles–Memphis | 75 | 30 | Imbalanced — 60% empty back |
| Denver–Salt Lake City | 25 | 20 | Reasonable |
| Florida–Northeast | 80 (winter) | 20 | Imbalanced for produce season |
Unbalanced lanes price higher in the heavier direction. Carriers run loaded one way at premium, deadhead back, and average down.
Customer maintains live trailers at their dock. Driver drops empty, hooks loaded, leaves. Pros:
Cost: more trailers in service. Typical ratio: 2.5–3.5 trailers per tractor for drop-and-hook.
Carrier with 50 asset trucks supplements with brokerage:
Outcome: assets stay loaded; broker margins fill gaps.
Carrier and shipper agree to a multi-stop weekly loop:
Weekly miles: 1,800. Loaded miles: 1,750. Loaded ratio: 97%.
Dedicated loop math is the gold standard. Hard to set up — easy to operate.
| Strategy | Miles/wk | Loaded % | Loaded miles | Rev @ $2.20/loaded mi | CPM @ $1.55 | Margin |
|---|---|---|---|---|---|---|
| Spot OTR | 2,400 | 78% | 1,872 | $4,118 | $3,720 | $398 |
| Brokerage-supplemented | 2,500 | 88% | 2,200 | $4,840 | $3,875 | $965 |
| Dedicated loop | 2,300 | 96% | 2,208 | $4,858 | $3,565 | $1,293 |
Same week, three strategies. Dedicated loop produces 3× the margin of pure spot.
| Tool | Function |
|---|---|
| TMS (McLeod, TMW, Truckmate) | Core dispatch, load assignment, lane mapping |
| DAT Power / Truckstop Pro | Spot rate intelligence + load matching |
| Project44 / FourKites | Real-time visibility, ETA + capacity match |
| MercuryGate / Trimble Engage | Multi-modal TMS with backhaul optimization |
| Optimal Dynamics | AI-driven load optimization |
Most carriers build their own load-pairing playbook in spreadsheets or via the TMS load-tender screen. AI/optimization tools are starting to add value at 50+ truck fleets.
Driver hometime is the constraint. A driver demanding to be home in Detroit every Friday limits load options:
Hometime-friendly lanes are a recruiting tool — make this part of the planning culture.
| Pattern | Fix |
|---|---|
| Driver delivers, sits 1 day, then deadheads 100 mi to next pickup | Pre-book load near drop point |
| Truck delivers and goes home empty | Find dedicated outbound load from home area |
| Reposition empty mid-week from low-rate region | Hold load in region until paying load surfaces |
| Bobtail to pick up trailer at terminal | Drop trailer at customer dock during last delivery |
| One-way intermodal drop | Pair with reverse drop |
| Behavior | Impact |
|---|---|
| Plan 2–3 loads ahead, not just next load | Loaded ratio +5–10% |
| Pre-book backhaul before driver leaves origin | Loaded ratio +5–10% |
| Hold driver in market for paying load vs deadhead | Margin +$0.30/mi |
| Track deadhead by lane and customer | Identifies fixable patterns |
| Weekly review of high-deadhead drivers | Coaches dispatcher AND driver |
Best dispatchers think 36–48 hours ahead at all times.
If a lane forces 30% deadhead, your effective revenue per total mile is:
Vs CPM of $1.55: losing money before any other inefficiency. The "good rate" lane is a money-loser.
Re-price the lane to $2.80/loaded mi to break even with full CPM. Customer may reject — that tells you the lane isn't worth your capacity.
X3 tracks deadhead by driver, by truck, by lane, by customer, by dispatcher. The dashboard surfaces top-10 deadhead causes weekly so operations can intervene. Lane-pair recommendation tools highlight where to negotiate backhaul or restructure.
Loaded ratio improvement is invisible until you measure it. Once measured, it's the single most actionable lever in operations.
